Plant & Equipment Asset Management keeps the whole-of-life record for a local council's mobile plant and vehicle fleet. Everything hangs off the asset — a grader, a tipper, a utility, a mower — which is classified by an asset class (that sets its meter type, useful life and criticality defaults), assigned to a business unit and operator, and based at a depot. Day to day the asset accumulates usage entries, validated meter readings, availability events and fuel transactions. Its condition is checked by templated inspections whose item-level responses raise defects; a serious defect restricts the asset and records an operating restriction. The maintenance response runs work request → work order → tasks / labour / parts, with parts issued from a store and replenished through the full requisition → quote → purchase order → goods receipt → supplier invoice chain under a three-quote control and a tolerance-based invoice match. Every dollar — labour, part, fuel, external service — is booked as a cost transaction against the asset, alongside budgets and an internal hire rate. Those accumulated facts — cost, utilisation, availability, condition and risk — feed the evidence-based lifecycle decision: the ten-year renewal program scores each asset as a renewal candidate, and end-of-life assets are disposed with recorded sale proceeds. Around the spine sit people compliance (licences, competencies, training), governance (service levels and their measured performance, improvement actions, audits and findings, approvals) and the reference data — organisation, depots, evidence, inspection and maintenance templates, and an integration message log.
